You're staring at an important spreadsheet when Excel bombards you with error messages: " The file is corrupt and cannot be opened" or "Excel has found unreadable content ." Since it contains vital budget data or customer lists, panic is inevitable. We see this scenario all the time, but corruption rarely results in total data loss.

Modern Excel files contain XML, formulas, formatting, and metadata that all work in sync. If one component fails (due to a power surge or unsaved changes), your entire XLSX file can become unreadable. Your data remains intact, but Excel can't interpret it.

We explain how Excel files get corrupted and what solutions actually work.

8 common causes of Excel file corruption

Corrupted Excel files are caused by faulty metadata or errors in the file structure. When you save a file, the information is written in layers: data, formatting, and then the index. If this process is interrupted, the result is a file that appears complete but cannot be opened.

These are the most common causes of Excel file corruption.

causes of Excel file corruption
  • Sudden power outage : Your computer loses power during the saving process. Excel writes the data, but not the final index.
  • Improper system shutdown : Forcing Windows to shut down prevents the completion signal from being sent to the file system, indicating that the saving process has finished.
  • Virus or malware : Malware overwrites file headers or encrypts parts of the file, making its structure unreadable.
  • Editing between different versions of MS Office : Incompatibilities between Excel 2019 and 2010 versions can corrupt file headers.
  • Plugin conflicts : Third-party tools sometimes conflict with core functions and damage the file structure.
  • Large file size : With large spreadsheets (over ~50 MB), writing errors sometimes occur.
  • Bad sectors : Hard drives have damaged sectors that interrupt data writing.
  • Network sharing errors : simultaneous editing without proper locking mechanisms causes write conflicts.

Why conventional tools fail to recover data from Excel files

Users often try to use generic data recovery software. While this works for deleted documents, it fails when it comes to Excel files.

This is because Excel files use a compressed XML container format. Generic data recovery tools search for file fragments and reassemble them sequentially. While they can find the fragments, they cannot properly decompress or reconstruct the internal XML structure. The result is a file that opens with unreadable characters or error messages.

Therefore, you need tools that understand Excel's internal structure, not just its external interface. For this reason, built-in utilities and specialized repair software are superior to standard data recovery tools.

How to diagnose damage in an Excel file

We recommend that you first check if your file is actually corrupted before attempting any repairs. These are the signs to look out for.

  • Error messages indicating that the file is damaged or that unreadable content has been found.
  • The file opens partially and then freezes.
  • Illegible characters or error symbols appear instead of data.
  • Excel freezes when saving and displays unexpected error messages.

If none of these apply, your problem might be due to a format incompatibility or a protected view setting. We'll look at that in a moment.

7 methods to repair and recover your Excel file

Method When to use it Success rate Risk of data loss
Restore to the last saved version The file was corrupted while work was being done on it, but it was not saved. 75–100 % Minimum
Disable protected view The file displays a security warning or cannot be opened. 70 Low
Change the file extension The XLSX file cannot be opened, but XLS might work. 60 % None
Disable add-ons Excel immediately crashes or displays error messages 65 % None
Use the "Open and Repair" tool The file cannot be opened at all >80 % Low
Save in a different format The file opens, but displays errors due to data loss. 75 % Half
Use Excel repair software Several methods have failed, critical data >95 %+ Low

Method 1: Revert to the last saved version

If the file becomes corrupted while you are editing it, you can restore the last known valid version.

If the file was saved before it was corrupted

  • Open the file.
  • Select "File" > "Information" .
  • In " Version History ", select the version that was indicated when you closed the file without saving.
  • Click on " Restore ".

If the file was not saved before it became corrupted

  • Select " File" > "Information " > " Manage Book" > "Recover Unsaved Books ".
  • Select the file and click "Open".
  • Click " Save As " to save the version.

Method 2: Disable Protected View

Protected View restricts potentially dangerous files, but sometimes it misclassifies them. Temporarily disabling it allows you to determine if the file is actually corrupted.

Attention : Only disable this feature for trusted files!

  • Open a new Excel file.
  • Select " File" > "Options" > "Security Center" > "Security Center Settings "
  • Select " Protected View " and uncheck all the boxes.
  • Click on " Accept ".
  • Try opening the corrupted file.

If this works, save the file with a new name and re-enable protected view immediately.

Method 3: Change the file extension

Your version of Excel may not support the current file extension. Older versions sometimes reject the "xlsx" file extension but accept "xls".

  • Right-click on the damaged file and select "Rename" .
  • Change the file extension from " xlsx" to "xls " or vice versa.
  • Try opening the file.
  • If this works, save it in the format that works.

Method 4: Disable add-ons

Third-party COM plugins often conflict with core functions

  • Open a new Excel file.
  • Select " File" > "Options" > "Add-ons ".
  • Set "Manage" to " COM Plugins " and click "Go".
  • Uncheck all the boxes and click " OK ".
  • Try opening the corrupted file.

If the problem has been resolved, activate the add-ons one by one to identify which one is causing the problem.

Method 5: Use the "Open and Repair" tool

If none of the above methods worked, try the " Open and Repair" tool below . This built-in utility diagnoses and fixes problems related to the internal structure of your Excel file.

  • Open Excel. Do not open the file directly.
  • Select "File" > "Open" > "Browse ".
  • Select the damaged file.
  • Click the arrow next to the "Open" button and select "Open and Repair".
  • Click on " Repair ".
  • If the repair fails, click " Extract Data " to recover raw values and formulas.

Method 6: Save in a different format

Sometimes, a simple format conversion can fix the damaged parts. To do this, follow these steps:

  • Open the damaged file.
  • Select " File" > "Save As ".
  • Select " Excel 97–2003 Workbook (xls)" or "SYLK Format (slk) ".
  • Save the file and close Excel.
  • Reopen the file and save it as an xlsx file.

Method 7: Use Excel repair software

If all the built-in methods mentioned above fail, use specialized Excel repair software. Look for tools that offer Office compatibility, preview features, and operating system support. Stellar Repair for Excel is one of the most reliable options.

With the free trial version, you can preview the fixes before you buy to make sure the software solves your problem before committing.

[Replace the names with the actual data from the file you have lost your data from.
  • Drag the fill handle to copy all the data.

2. Restore your macros

  • Set Excel's calculation mode to " Manual ".
  • Open the file.
  • Press Alt + F11 to open the VBA Editor.
  • In the Project Explorer, right-click on " Modules " and select " Export File " to save the macros.
